Many of the processes in a business are seldom streamlined and as efficient as they can be. A company will often use a number of different pieces of software for various tasks and departments. E.g. Accounting may use Sage or some other accounting software and sales may use Excel to store client details. Any one program may be severely limited to what it can do for that area and is certainly not specialized for each department. For instance, many bespoke programs like Sage may not be able to interact with other programs at all. Immediately we have a problem where an invoice can't be directly tied to a sale on the system, and so such an action would have to be done manually by the admin department. Job Costing is another application with severe limitations when it comes to putting orders together for multiple items for the same customer. Personal information often has to be typed out several times, each time being exactly the same information which is needless repetition that dramatically wastes the admin's time!

Home built CRM (Customer Relationship Management) system can specifically target every process such as those mentioned above within the business, no matter how big or small. All that wasted time adds up and can be eliminated if a CRM is carefully designed and implemented properly. At each stage of development, it should be reviewed by everyone, not just the developers or the managing director.

A bespoke CRM system will always be superior to a commercial one that is made as a general CRM for business. The reason is that such CRM systems are often bloated and have far more things than what a given company may need. This means more time spent learning the CRM by the staff and a higher cost for the software because of features that will not be used. In-house CRM systems are specially tailored to every aspect of the business and because it's in-house, the IT department or the person who made the system can easily alter it and add things to it as the needs of the company change.

These CRM systems are often more secure because they are kept on the company's server which is in a secure location, and internet access from the outside world may be forbidden. At the very least it will be (or should be!) firewalled.

CRMs can be developed in a number of languages such as C, PHP and Java. A web based language is often preferred because of its cross-platform compatibility, provided that it has been tested in a range of web browsers beforehand! Java is also a good choice because of its compatibility thanks to the Java Virtual Machine, but having a system developed in Java is often more costly because of the higher skill set needed to make it.

Having the perfect CRM system in place can eliminate the need to hire more staff, at least for the time being. It can even render some staff redundant, so don't be surprised if some of your staff aren't to happy to hear about it if they are clued up on CRM!
